How to Create Email Import Profile

This feature allows you to import email attachments directly to Enadoc. You can import email attachments from the inbox of different email servers such as Gmail, Outlook by creating email import profiles.

Select ‘Create New’ from the existing Email Import Profile list. Enter proper name for the Email Import Profile. Enter the Mail Server name (pop), Mail Server Port Number, User Email ID and User Password of the mail server.

Use SSL’ - Select if the mail server uses SSL (Server Socket Layer).

Select a tag profile from the existing tag profiles list. According to the user permission, tag profiles are loaded to the list. And according to the tag profile the related library will be displayed in front of the Library Name.

Select a delimiter from Semicolon {;} / Colon {:} / Comma {,}/ Hash {#}/ At {@}. Tags are created from index values separate by the space and selected delimiter from the dropdown.

Map email fields with the indexes of the selected library. Only the ‘text’ type indexes of the selected library will be displayed to map with email fields. Here, the index settings are not affected with the indexes (ex: mandatory)

Subject, Message, Attachment Name(s) are the email fields and you can define which field value should save as which index of the library when execute the rule. Selected indexes should have enough index length for values of mapped fields. Otherwise additional characters will be missed.

Edit an Email Import Profile

User can select Email Import Profile from the existing list and edit required field. Users can not edit profiles until finish the execution.

Executing a Rule

Select an Email Import Profile from the list and click on “Execute Rule” button. All the emails of the email account which are having attachments are identified by the system. Then the attachments are imported to the library automatically by saving index values as defined in the mapping fields of the created email import profile.
